Virtual Stand-Up Meetings

Posted by mjgraves on April 2, 2014

What are they?

Short, daily “Stand-up Meetings” are a good way to keep a team moving forward in sync without spending an undue amount of time in meetings. This practice is most commonly associated with methodologies for Agile software development, although it also has a long history in the restaurant business.

The daily stand-up meeting, aka “Daily Scrum Meeting,” is a supposed to be a face-to-face gathering of the team where each member answers three simple questions:

  1. What did you do yesterday?
  2. What will you do today?
  3. Are there any impediments in your way?

To be effective the daily stand-up meeting must start on-time with all the required people ready to play their part. These meetings last no longer than 15 minutes. Holding the meeting standing is intended to discourage lengthy discourse, helping to keep the meeting short and productive.

As a practical matter, a daily stand-up meeting implies meeting more frequently, literally every day as opposed to once or twice a week. However, each meeting is brief, with clearly defined agenda and scope of discussion. This combination results in less time spent in meetings overall.

Problem:

The team may be distributed, with members at other locations or even travelling. That can make a face-to-face meeting difficult to achieve. A conference call can be a good solution, but gathering the entire team on such a call can be tedious and wasteful of time.

Solution:

ZipDX makes connecting the team fast and painless, no matter where they are. The Call-Me feature will automatically call the entire team at meeting time ensuring that the meeting starts on-time. Those who aren’t physically present don’t even need remember how to dial-in. A call will be placed to them automatically, joining them to the meeting on-time.

The Call-Me feature can be setup with multiple ways to reach each participant. They can be called at their desk, in their home office, on their cell phone….or wherever is appropriate for each person.

Since ZipDX calls everyone at the same time, the team won’t be wasting time waiting for stragglers to join the call. With Call-Me ZipDX provides the coordination to ensure that a virtual stand-up meeting is just as fast and convenient as being in the same room.
